Form 1096

What is Form 1096?

Form 1096, officially titled “Annual Summary and Transmittal of U.S. Information Returns,” is a tax form used by the United States Internal Revenue Service (IRS). It serves as a summary document for all non-wage information returns that an entity or individual files with the IRS. This includes forms such as 1099, 1098, and other similar documents used to report various types of income, other than salaries, to the federal government.

Purpose of Form 1096

The primary purpose of Form 1096 is to provide the IRS with a quick reference summary of information returns being submitted by a filer. It helps the IRS verify that the information submitted on individual forms matches the totals reported on Form 1096, ensuring the accuracy and completeness of data for tax processing.

Filing Requirements and Deadlines

Form 1096 must be filed whenever a filer sends multiple information returns of the same type to the IRS. The form is typically due by January 31st of the year following the tax year in which the income was paid. For example, information returns and their corresponding Form 1096 for income paid during 2023 would be due by January 31, 2024.

How to Fill Out and Submit Form 1096

Filling out Form 1096 involves listing the types and total number of forms being transmitted, along with the total amount of reported payments. The filer must include their name, address, and taxpayer identification number. Form 1096 must be submitted in paper format, along with copies of the information returns being reported. It is important to ensure that all entries are accurate to prevent processing delays or errors.

Challenges and Tips for Accurate Filing

Filers must ensure that all information on Form 1096 matches the details provided on the individual information returns. Discrepancies can lead to inquiries or audits from the IRS. It’s advisable to double-check all data before submission and to keep copies of all submitted forms for record-keeping and future reference.

Form 1096 is a crucial component of compliance for those who deal with various forms of non-wage income, playing a key role in the accurate and efficient processing of tax information by the IRS.
